Why Templates Get Rejected and How to Fix Them

Common reasons WhatsApp message templates get rejected and how to fix each issue

Updated 10 February 2026

When you submit a message template for approval, Meta reviews it against WhatsApp's policies. If it doesn't meet their guidelines, it gets rejected — and you can't edit a rejected template. You have to fix the issue, duplicate the template, and resubmit.

This guide covers every common rejection reason and exactly how to fix each one.

How Template Approval Works

When you submit a template (either through WhatChimp or WhatsApp Manager), Meta's review system checks it for policy compliance, formatting, and clarity. Most templates are reviewed within minutes, but some take up to 24 hours.

Templates can be in one of these states:

Approved — Ready to use.

Pending — Still under review.

Rejected — Failed review. You'll need to fix the issue and resubmit as a new template.

Paused — Was approved but paused due to poor quality feedback from recipients (blocks, reports).

Disabled — Permanently disabled due to repeated quality issues.

Common Rejection Reasons

Wrong Category

Selecting the wrong category is one of the most frequent mistakes. If your template promotes a sale but you submit it as "Utility," it will be rejected.

Marketing — Promotions, offers, product announcements, upsells, re-engagement campaigns.

Utility — Order confirmations, shipping updates, appointment reminders, payment receipts, account alerts.

Authentication — OTPs and verification codes only.

Rule of thumb: If the message benefits your business (driving sales, engagement), it's Marketing. If it benefits the customer (order status, account security), it's Utility or Authentication.

Variables Without Context

Templates that are mostly variables with little static text get rejected because Meta can't verify what the actual message will say.

Rejected: {{1}} {{2}} {{3}} {{4}}

Rejected: Hi {{1}}, {{2}}

Approved: Hi {{1}}, your order #{{2}} has been shipped and will arrive by {{3}}.

The static text must make the template's purpose clear even without knowing the variable values.

Incorrect Variable Format

Variables must use double curly braces with sequential numbers starting from 1.

Rejected: Hi {1}, your order {2} is ready — single braces

Rejected: Hi {{name}}, your order {{id}} is ready — text instead of numbers

Rejected: Hi {{1}}, your order {{3}} is ready — skipped {{2}}

Approved: Hi {{1}}, your order {{2}} is ready

Too Many Variables

Using excessive variables makes the template unclear and unpredictable. Keep variables to a minimum and include enough static text so the message makes sense.

Rejected: Hi {{1}}, {{2}}, Thanks for purchasing {{3}}, {{4}}, {{5}}.

Approved: Hi {{1}}, thanks for purchasing {{2}}! Your order will arrive by {{3}}.

Special Characters in Variables

Variables should only contain numbers. Don't put special characters, text, or formatting inside the curly braces.

Rejected: Hi {{#1}}, your order {{$2}} is confirmed

Approved: Hi {{1}}, your order {{2}} is confirmed

Vague or Generic Template Name

Template names like template_001 or test don't describe the purpose and are more likely to be rejected.

Rejected: template_003, test_msg, new_template

Approved: order_confirmation_v2, appointment_reminder, shipping_update

Use lowercase letters, numbers, and underscores. The name should describe what the template does.

Content Violates WhatsApp Policies

Templates that request sensitive information, promote restricted products, or contain prohibited content will be rejected.

Not allowed:

  • Requesting credit card numbers, passwords, or government IDs in the message body
  • Promoting alcohol, tobacco, gambling, weapons, or adult content
  • Threatening or coercive language ("Act now or your account will be deleted")
  • Misleading claims or false urgency

Rejected: Please share your full credit card number to proceed, {{1}}.

Approved: To complete your payment, please visit your account page at {{1}}.

Review Meta's Commerce Policy before submitting templates in sensitive industries.

URL Shorteners

Shortened URLs (bit.ly, tinyurl, etc.) are not allowed in template body text. Meta can't verify where shortened links go, so they reject them.

Rejected: Track your order here: bit.ly/abc123

Approved: Track your order here: https://yourstore.com/track/{{1}}

Better: Use a CTA (Call to Action) button instead of putting URLs in the body text. Button URLs are cleaner and get higher click rates.

Spelling Mistakes and Slang

Templates with obvious typos, grammatical errors, or heavy slang may be rejected. Meta expects professional, clear communication.

Proofread your templates before submitting. Avoid informal abbreviations like "u" for "you" or "pls" for "please."

Missing Sample Content for Media Templates

If your template includes a header with an image, video, or document, you must provide a sample file when submitting. Templates without sample media are rejected.

Make sure the sample file matches the format you'll use in production (JPEG/PNG for images, MP4 for video, PDF for documents).

Mixing Languages

Each template must be in one language. Don't mix English and Hindi (or any other combination) in the same template.

If you need the same message in multiple languages, create separate templates — one per language — and select the correct language when submitting each one.

Mismatched Translations

If you create a template in a non-English language, Meta may compare it to similar English templates. The meaning should be consistent. Translations that significantly differ from the English version may be rejected.

Duplicate Template Content

Submitting a template with identical or near-identical wording to an existing template will be rejected. Each template must have distinct content.

If you need to resubmit a rejected template after fixing it, change the template name and make sure the content is updated.

Empty Lines or Formatting Issues

Blank lines in the middle of your template content can cause rejection. If you need visual separation between paragraphs, use a single line break — not multiple empty lines.

Emojis in Quick Reply Buttons

Quick reply button text should be plain text only. Emojis in button labels may cause rejection.

Rejected: Quick reply button: Yes! 👍

Approved: Quick reply button: Yes

Exceeding Character Limits

Each part of a template has character limits. Exceeding them causes rejection.

ComponentLimit
Header (text)60 characters
Body1,024 characters
Footer60 characters
Button label25 characters
Button URL variable2,000 characters

See Character Limits for Media Message Templates for the full reference.

Missing Opt-Out Option (Marketing)

Marketing templates should include a way for users to stop receiving messages. While not always required for approval, templates without opt-out options are more likely to get reported and paused.

Add a quick reply button like "Stop" or include text like "Reply STOP to unsubscribe" in marketing templates.

What to Do When a Template Is Rejected

You cannot edit a rejected template. Instead, duplicate it and fix the issue:

In WhatChimp: Go to the Rejected section under Templates. Find the rejected template, click the three dots (...), and select Duplicate Template. Make the necessary fixes and resubmit.

In WhatsApp Manager: Create a new template with a different name, fix the issue, and submit. Then sync your templates in WhatChimp.

Tip: Before resubmitting, compare your template against every rejection reason in this guide. Fixing one issue only to get rejected for a different reason wastes time.

Tips to Improve Approval Rates

Read the rejection reason — Meta provides a specific reason when rejecting a template. Don't guess — read it and fix exactly what they flagged.

Keep it simple — Short, clear templates with minimal variables get approved faster than complex multi-variable messages.

Use the right category — When in doubt between Marketing and Utility, ask yourself: "Does this message primarily benefit the customer or my business?"

Test with simple templates first — If you're new to WhatsApp templates, start with straightforward messages (order confirmations, appointment reminders) before attempting complex marketing campaigns.

Don't resubmit without changes — Submitting the same rejected template again will get the same result. Fix the specific issue first.
