Templates to Restart Conversations After Non-Working Hours

Ready-to-use templates for re-engaging customers after the 24-hour service window expires

Updated 10 February 2026

When a customer messages your business and you don't reply within 24 hours, the service conversation window closes. After that, you can't send free-form messages — you need an approved Utility template to re-initiate the conversation.

This commonly happens when customers message outside your working hours, on weekends, or during holidays. Having a ready-to-use re-engagement template means you can pick up the conversation as soon as your team is back online.

Why You Need These Templates

The 24-hour rule: WhatsApp gives you a 24-hour window to reply to customer messages for free. Once that window closes, any message you send must use an approved template — and it opens a new paid conversation.

Don't lose the customer: If someone reached out with a question or issue and you missed the window, they may still need help. A well-crafted re-engagement template shows you care and brings them back into the conversation.

Automate the follow-up: In WhatChimp, you can set up automation rules to automatically send a re-engagement template when the service window expires for unanswered conversations.

Template Examples

Below are ready-to-use templates you can create in WhatChimp. Submit them as Utility templates since they're service-related follow-ups, not marketing.

Simple Follow-Up

Sorry we missed your message — our team was unavailable when you reached out. If you still need help, tap Continue and an agent will assist you shortly.

Quick reply buttons: Continue | No thanks

Best for: General customer support teams with standard working hours.

Personalized Follow-Up

Hi {{1}}, you contacted us outside our working hours and we couldn't respond in time. If you still need assistance, tap Yes and we'll connect you with an agent right away.

Quick reply buttons: Yes, I need help | Issue resolved

Best for: Businesses that want a personal touch. Use {{1}} for the customer's name.

Multi-Option Follow-Up

Apologies for not responding to your message sooner. If your issue still needs attention, choose how you'd like to connect with us:

Quick reply buttons: Chat with agent | Call me back

Best for: Businesses that offer both chat and phone support.

After-Hours Acknowledgment with Business Hours

Thanks for reaching out! Our team is available {{1}}. We saw your message and want to make sure we help you. Tap Connect to continue the conversation with an agent.

Quick reply buttons: Connect | Not needed

Best for: Businesses that want to set expectations about availability. Use {{1}} for your working hours (e.g., "Mon-Fri, 9 AM - 6 PM IST").

Tips for Re-Engagement Templates

Submit as Utility, not Marketing — These templates are transactional follow-ups to a customer's inquiry, not promotional messages. Using the Utility category means lower cost and higher approval rates.

Keep it short and apologetic — Acknowledge the delay briefly. Don't over-explain why you missed the message.

Always include a quick reply button — Make it easy for the customer to respond with one tap. A "Continue" or "Yes" button gets much higher response rates than asking them to type a reply.

Include an opt-out option — Add a second button like "No thanks" or "Issue resolved" so customers who no longer need help can indicate that without blocking you.

Don't send if too much time has passed — If the customer messaged 3+ days ago, a follow-up may feel irrelevant. Consider skipping re-engagement for messages older than 48 hours.

Avoid sending multiple re-engagement messages — One follow-up is enough. Sending the same template repeatedly will annoy customers and hurt your quality rating.

Setting Up Automation in WhatChimp

Instead of manually sending re-engagement templates, you can automate this in WhatChimp:

Set your business hours in WhatChimp settings so the system knows when your team is available.

Create an automation rule that triggers when a conversation's service window expires without a reply from your team.

Choose your re-engagement template as the automated response.

This ensures no customer message gets permanently lost, even if your team is unavailable.
