Guide: Import Subscribers Using CSV

Updated 10 February 2026

Importing subscribers using a CSV file is a fast and efficient way to add multiple contacts to your Whatchimp account at once. By following the correct format and steps, you can ensure a smooth import process.

Before importing subscribers, it’s essential to set up your custom fields and labels to ensure proper data organization. This allows you to map fields correctly and categorize subscribers effectively. Follow the Manage Custom Fields and Labels Guide before proceeding with the import steps.

Prerequisites

Before importing your subscribers via CSV, ensure you have the following:

  • Properly Formatted CSV File: Your file should include essential fields such as Name, Phone Number, and other custom fields for personalization.
  • UTF-8 Encoding: The CSV file must be saved in UTF-8 format to prevent encoding issues.

Prepare Your CSV File

1. Create a Spreadsheet

Include columns for essential fields such as:

  • Name
  • Phone Number
  • Other custom fields for personalization

2. Format Phone Numbers Correctly

  • Download a Sample CSV File to view the recommended structure before importing your own data.
  • Ensure the phone number field contains no special characters (e.g., dots or letters) to avoid errors.

3. Save or Export as a UTF-8 CSV File

  • Google Sheets: Go to File > Download > Comma-separated values (.csv).
  • Microsoft Excel: Convert the file to a Google Sheet before exporting to ensure UTF-8 compatibility with Whatchimp.

Import the CSV File

You can import your CSV file using either Direct Import or Google Sheets Integration.

Direct Import

  1. Go to Subscribers Manager> Import Subscribers.

  1. Upload your CSV file.

  1. Map your CSV columns to Whatchimp fields (e.g., Name → Full Name, Phone → Subscriber Phone Number).

  1. Click Confirm to complete the import.
  1. Duplicates will be automatically removed based on phone numbers.

And that’s it! By preparing your CSV file correctly and following the import steps, you can quickly add subscribers in bulk and ensure your list is well-organized. If you encounter any issues, double-check your formatting and ensure CSV file is saved in UTF-8 Encoding. Happy importing!
